How we built a custom review generation system for a dental practice — doubling monthly Google reviews without the front desk ever asking a patient.
One review a month, if the front desk remembered to ask
The practice had a 4.2-star Google rating with barely any recent reviews. The front desk was supposed to ask patients at checkout, but it felt awkward and rarely happened. When they did ask, patients would say 'sure' and then forget. Meanwhile, competitors with 200+ reviews were showing up first in local search.

Post-visit SMS with direct review link, timed and throttled
We built an automation that triggers when an appointment is marked complete in the practice management system. Two hours after the visit — when the patient is home and relaxed — they get a friendly SMS with a direct link to leave a Google review. The system only targets patients with 2+ visits (no first-timers), caps asks at once per quarter, and tracks conversion from ask to review.

The practice went from 1–2 reviews per month to a consistent stream without anyone on staff doing anything differently. The 2-hour delay was key — patients were more likely to leave a thoughtful review from their couch than when being put on the spot at checkout.
